Interim Facilities Project & Transformation Project

Legal Sector – Service Procurement & Operational Management Case Study

High Profile Law Firm, London

The move to a prestigious listed building, which was undergoing a complete renovation and redesign for the client was a milestone event in their history. As a high-profile law firm, with many high profile cases and celebrity or high net worth clients, they wanted to achieve a complete transformation in terms of building ambience and with it a complete new set of services to support hard working staff and all visiting clients.

Requirement

The project required the relocation of 700 staff from various existing buildings into a new location, with the absolute requirement that disruption to business was kept at a minimum.

Liaison with the architects & the main contractor on all costs, décor standards, building programme target and client specification was essential to ensure the framework for the new enhanced workplace services and client areas were in place.

The client required an exceptional 5-star service approach on a 24/7 basis, to ensure potential suppliers could provide exemplary out of hours service standards for unexpected client visits. Adopting a “VFM” team approach (virtual not total), with all service providers working together as a seamless team, undertaking the same levels of customer service training and in a new non-branded but co-ordinated workplace uniform was a crucial element to success.

The relaxed but classic style of uniform added to the new meet and greet service, the client lounge and concierge style approach to client's needs, and a cohesive approach which lead to multi skilling and real team building.

Solutions and Results

The client changed service providers and implemented new specifications and SLAs for the following:

  •     Catering, vending and hospitality
  •     Mechanical and electrical maintenance
  •     Security
  •     Print room and print services
  •     Archive management
  •     Flowers and planting
  •     FM CAFM system

The in-house Helpdesk and reception teams were also expanded and formed part of a new approach of working along with the outsourced service partners.
