Financial Services Organisation Moving to new state of the art premises

 

 

How We Helped

The Client move to a new build trophy building with an exceptionally high fit out standard, gave them the opportunity to review all key FM services stream. The intention was to introduce a new range of client and staff experiences which had been prohibitive in the previous building due to space constraints. They also took time to look at “right sizing” to fit the new staff working patterns on site, with flexibility built into all new service contracts to enable flexible staffing levels and service provision on non-busy days in the office.

The collaboration with the Facilities team at director level, resulted in the design of new service specifications and SLAs for:

  • Mechanical and electrical maintenance,
  • Security and front of house services,
  • Catering and hospitality
  • Withdrawal of wide scale free issues 
  • Introduction of staff dining on a semi-commercial basis

Key to the success of the project was the client attitude to retendering the newly designed services. A few key supplies were selected for each service category, based on market knowledge and known capabilities, and site visits and “getting to know you meetings” were set up between the two parties. This allowed the client to see some of the new ideas they wished to implement in working practice first, not just as details in a tender return document. They were able to shortlist to a maximum of 3 bidders for each service before issuing the tender documentation, knowing that the suppliers could deliver on their required service specification.

This then greatly reduced the tender documentation and more innovative and highly tailored bids were received, having been based on the bidders knowledge of the client culture and specific requirements, gained through face to face interaction, as well as the comprehensive visits to the new building prior to PC to understand the premises.

The client retained only one incumbent supplier, and the subsequent well managed mobilisation with their new suppliers resulted in a seamless transition into the new services on day one of operations at the new location.
